Organize inventory across locations, manage zones, and coordinate stock transfers for efficient warehouse management.

Overview

Warehouse Operations provides advanced features for multi-location inventory management:

  • Create and manage warehouse zones
  • Track item locations within warehouses
  • Transfer stock between zones and warehouses
  • Generate location-based reports
  • Plan efficient picking routes

Access warehouse features from the Warehouse tab → Warehousing button.

Zones and Locations

Understanding Zones

Zones are defined areas within your warehouse for organizing inventory:

Common Zone Types:

  • Storage Zones: Long-term inventory storage (e.g., "A1", "B2", "Shelf-42")
  • Receiving Zones: Incoming shipment staging areas
  • Shipping Zones: Outbound order preparation areas
  • Quality Control: Inspection and testing areas
  • Returns Processing: Returned item handling areas

Creating Zones

Set up warehouse zones:

  1. Navigate to Warehouse tab
  2. Tap Warehousing button
  3. Select Add Zone
  4. Enter zone details:
    • Zone ID/Name: Short identifier (e.g., "A-1", "Shelf-42", "Dock-3")
    • Description: Full zone description
    • Warehouse Location: Which facility or building
    • Zone Type: Storage, Shipping, Receiving, etc.
    • Capacity: Maximum items or volume (optional)
  5. Tap Save

Zone Naming Best Practices

Use consistent naming conventions:

Aisle Systems:

  • Format: [Aisle]-[Section]-[Shelf]
  • Example: A-2-3 (Aisle A, Section 2, Shelf 3)

Grid Systems:

  • Format: [Row][Column]
  • Example: R5C8 (Row 5, Column 8)

Functional Zones:

  • Clear purpose names
  • Examples: "Fast-Pick", "Bulk-Storage", "Receiving-Dock-1"

Keep names short for quick reference during picking.

Assigning Items to Zones

Manual Assignment

Assign inventory to specific locations:

  1. Open an inventory item
  2. Tap Edit
  3. Select Location field
  4. Choose zone from list
  5. Enter Quantity in Zone (if splitting across locations)
  6. Tap Save

Bulk Zone Assignment

Assign multiple items at once:

  1. In Warehouse tab, select multiple items
  2. Tap Assign to Zone
  3. Choose destination zone
  4. Confirm assignment
  5. All selected items update simultaneously

Multi-Zone Inventory

Store the same item in multiple zones:

  1. Edit inventory item
  2. Add Additional Location
  3. Select second zone
  4. Enter quantity at each location
  5. System tracks total across all zones
  6. View breakdown in item details

Zone Management

Viewing Items by Zone

See what's stored in each zone:

  1. Navigate to Warehouse → Warehousing
  2. Select a zone
  3. View all items in that location with:
    • Item name and SKU
    • Quantity at this location
    • Last movement date
    • Item value

Zone Capacity Management

Monitor zone utilization:

Set Capacity Limits:

  1. Edit zone
  2. Set maximum capacity (units or volume)
  3. Save zone

View Utilization:

  • Current items vs capacity
  • Percentage full
  • Available space
  • Overstock warnings

Zone Reports

Generate location-based analytics:

  1. Select zone
  2. Tap Generate Report
  3. Choose report type:
    • Zone inventory summary
    • Movement frequency
    • Value by zone
    • Aging inventory
    • Picking efficiency
  4. Export as PDF or CSV

Printing Zone Labels

Create physical zone markers:

  1. Select zones to label
  2. Tap Print Labels
  3. Choose label size and format
  4. Preview labels
  5. Print to AirPrint-enabled printer

Post labels in warehouse for easy identification.

Stock Transfers

Transfer Between Zones

Move inventory within the same warehouse:

  1. Select item to transfer
  2. Tap Transfer Stock
  3. Choose Source Zone
  4. Choose Destination Zone
  5. Enter Quantity to move
  6. Add Transfer Notes:
    • Reason for transfer
    • Authorization reference
    • Special handling notes
  7. Tap Confirm Transfer

Result:

  • Source zone quantity decreases
  • Destination zone quantity increases
  • Transfer logged in item history
  • Both locations update immediately

Transfer Between Warehouses

Move inventory between different facilities:

  1. Select item(s) to transfer
  2. Tap Transfer Stock
  3. Select Source Warehouse and zone
  4. Select Destination Warehouse and zone
  5. Enter quantity
  6. Add transfer details:
    • Transfer date
    • Expected arrival date
    • Transportation method
    • Responsible person
  7. Create transfer

Result:

  • Creates dispatch record for tracking
  • Marks inventory as in-transit
  • Source warehouse quantity decreases
  • Destination quantity increases upon receipt
  • Full audit trail maintained

In-Transit Inventory

Track items moving between locations:

While In Transit:

  • Items show "In Transit" status
  • Not available for sale
  • Visible in both source and destination reports
  • Tracked in transfer log

Upon Arrival:

  • Recipient confirms delivery
  • Status changes to available
  • Destination inventory updates
  • Transfer completes

Bulk Transfers

Move multiple items simultaneously:

  1. Select multiple items
  2. Tap Bulk Transfer
  3. Choose destination
  4. Enter quantities for each item
  5. Add overall transfer notes
  6. Confirm bulk transfer

Efficient for inventory reorganization or seasonal moves.

Troubleshooting

Item Can't Be Found in Zone

If item shows in system but isn't in physical location:

  1. Check recent transfer history
  2. Verify zone assignment is current
  3. Check if item was dispatched
  4. Look in nearby zones (misplacement)
  5. Review picking records
  6. Conduct focused count
  7. Adjust inventory if confirmed missing

Zone Over Capacity

If zone exceeds set limits:

  1. Review current contents
  2. Identify items for relocation
  3. Transfer excess to available zones

Transfer Not Reflecting

If transfer doesn't update properly:

  1. Verify both source and destination saved
