The Pending Tasks system consolidates action items from across TheCompanyApp:

  • Order tasks requiring attention
  • Inventory items needing action
  • Low stock alerts
  • Returns to process
  • Approval workflows

Access pending tasks from the Main dashboard or dedicated Tasks view.

Task Types

Order Tasks

Action items related to sales orders:

New Orders Needing Review

  • Orders submitted and awaiting approval
  • Credit checks required
  • Pricing verification needed

Orders Awaiting Approval

  • Management review required
  • Authorization needed to proceed
  • Risk assessment pending

Payment Pending

  • Invoices awaiting payment
  • Payment confirmations needed

Task List View

Access all pending tasks:

  1. Navigate to Main dashboard
  2. View pending task summary count
  3. Tap View All Tasks
  4. See complete task list with:
    • Task description
    • Task type (Order/Inventory)
    • Priority indicator
    • Due date
    • Assigned staff member
    • Creation date

Task Detail View

View complete information for any task:

  1. Tap on a task
  2. See detailed information:
    • Related item or order
    • Priority level
    • Due date
    • Assignment details
    • Notes and instructions
    • History and updates
  3. Take action or update status

Filtering and Sorting

Filter Tasks

Narrow down task list:

By Type:

  • Order tasks only
  • Inventory tasks only
  • All tasks

By Priority:

  • Flagged/Urgent tasks
  • Normal priority tasks
  • Low priority tasks

By Date:

  • Overdue tasks
  • Due today
  • Due this week
  • Custom date range

By Assignment (Business/Enterprise):

  • My tasks
  • Unassigned tasks
  • Assigned to specific team member
  • All tasks

By Status:

  • Not started
  • In progress
  • Blocked or waiting
  • Ready to complete

Sort Options

Organize task list:

  • By Priority: Urgent tasks first
  • By Due Date: Soonest deadline first
  • By Creation Date: Oldest or newest first
  • By Type: Group order and inventory tasks
  • By Assignment: Group by team member

Working with Tasks

Completing Tasks

Take action on pending items:

  1. Open task details
  2. Review required action
  3. Complete the necessary work:
    • Approve order
    • Adjust inventory
    • Contact customer
    • Process return
    • Update documentation
  4. Task automatically updates or clears

Many tasks resolve automatically when underlying work is complete.

Task Assignment (Business/Enterprise)

Delegate tasks to team members:

  1. Open task
  2. Tap Assign
  3. Select team member from list
  4. Add assignment notes
  5. Save assignment

Assigned team member receives notification.

Setting Task Priority

Mark urgent items:

  1. Open task
  2. Toggle Priority Flag
  3. Add reason for urgency
  4. Save task

Flagged tasks:

  • Appear at top of list
  • Show flag icon
  • Generate notifications (if enabled)
  • Visible in dashboard badge count

Adding Notes to Tasks

Document progress:

  1. Open task
  2. Tap Add Note
  3. Enter update or information
  4. Save note

Notes include:

  • Timestamp
  • Author (who added note)
  • Searchable content
  • Visible to all team members

Deferring Tasks

Postpone non-urgent items:

  1. Open task
  2. Tap Defer
  3. Select new due date
  4. Add reason for deferral
  5. Save changes

Task moves to future date and won't show in current view until then.

Automatic Task Creation

The system automatically creates tasks for:

Low Stock Alerts

When inventory falls below threshold:

  • Task created immediately
  • Shows item name and current stock
  • Links to inventory record
  • Suggests reorder quantity
  • Clears when stock replenished

Orders Requiring Dispatch

When orders reach "In Progress" status:

  • Task created for each order
  • Shows items ready to ship
  • Links to pre-dispatch checklist
  • Includes customer delivery date
  • Clears when all items dispatched

Returns to Process

When return is initiated:

  • Task created for return evaluation
  • Shows items being returned
  • Links to original order
  • Includes return reason
  • Clears when return processed

Payment Follow-Ups

For overdue payments:

  • Task created when payment due date passes
  • Shows invoice details
  • Links to customer record
  • Includes payment history
  • Clears when payment received

Approval Workflows

When orders require authorization:

  • Task created for designated approver
  • Shows order summary
  • Includes approval criteria
  • Links to full order details
  • Clears when approved or rejected

Manual Task Creation

Create custom tasks:

  1. Navigate to Tasks view
  2. Tap + button
  3. Enter task information:
    • Title: Brief description
    • Description: Detailed instructions
    • Type: Order, Inventory, or General
    • Priority: Normal or High
    • Due Date: Target completion date
    • Assign To: Yourself or team member
  4. Optionally link to:
    • Specific order
    • Inventory item
    • Customer contact
  5. Save task

Use manual tasks for:

  • Custom workflows
  • Follow-up reminders
  • Special projects
  • Non-standard activities

Push Notifications

Receive alerts for:

  • New tasks assigned to you

Red badge numbers show:

Troubleshooting

Tasks Not Appearing

If expected tasks don't show:

  • Check filter settings (may be hiding tasks)
  • Verify task type filter includes what you need
  • Check date range filter
  • Ensure proper sync (pull to refresh)
  • Verify you have permissions to view

Can't Complete Task

If task won't clear:

  • Check if underlying work is actually complete
  • Verify order status has progressed
  • Confirm inventory adjustment saved
  • Check for system sync issues
  • Manually mark complete if appropriate

Too Many Tasks

If overwhelmed by task volume:

  1. Filter by priority
  2. Address urgent items first
  3. Defer future tasks
  4. Delegate to team members (Business/Enterprise)
  5. Adjust stock thresholds to reduce alerts

Task Assigned to Wrong Person

To reassign:

  1. Open task
  2. Tap Reassign
  3. Select correct team member
  4. Add reassignment note
  5. Original assignee notified of change
